Restaurant group Sandford-Bell streamlines operations with Adi Insights

Problem: In the restaurant industry, shifts do not start and finish at set times and must closely meet sales demand; the staff employed expect flexible working conditions and change their availability regularly; their distributed office set up can result in data redundancy and lack of management control; there were no tools to calculate and meet critical kpi targets while scheduling, which means labour costs can blow out often and with little warning.

Solution: Adi Insights, the web-based scheduling solution, solves these problems at a price the individual small business owner can afford. Now restaurant owners and managers have: an easy to use scheduling screen; access to their data anywhere, any time; presentation of the relevant statistical data in an easy to understand way that enables and guides the restaurant managers (who have no business training) to make important business decisions.

Outcomes: using Adi Insights enabled the restaurant owners to reduce their cost of labour by matching shifts to sales demand – enabling them to ensure they still provide quality service to their customers but do not run over budget; in turn, effectively reducing their labor costs by at least $85,000 pa across their six restaurants. Adi also gives them a tool for managers to effectively track staff availability changes without piles of paper or hand written diary entries, and communication of shift information in a way that the staff relate to (via SMS and email).

Adi client saving $85,000 per annum on wages

Jason Sandford-Bell owns six Subway® Restaurants in the Sunshine Coast area of South East Queensland. His company, Sandford-Bell Investments, has been an Adi client since 1 April 2010.

By putting the right people in the right place at the right time, Jason estimates this financial year he will achieve an intangible saving of $85,000 in wages.

“From the eight weeks prior to us using Adi, we had a group average [labour cost] of 28.6% [of sales]. Since using Adi, we are able to accurately hit a store percentage of 20%, plus 2.5 – 3.5% for the management group. Effectively, this will reduce our wage cost by at least $85,000 pa.”

With hour-by-hour sales figures automatically imported into Adi from his point of sale (POS) system, Jason’s managers can schedule their most productive and cost effective employees at the busiest times. This means his managers can make critical business decisions even with no business training.

“Adi certainly has improved our systems and the managers are much happier with an online system as compared to the previous spreadsheet [system].”

Jason says, “We were using a fairly generic spreadsheet… we would generally have been understaffed on the busier days and subsequently overstaffed on the quieter days, which has its obvious impacts…”

Once his managers have created a cost-effective roster, they can SMS and email the roster to their staff at the click of a button.

Jason says, “The most important component from my perspective is now being able to specifically target and roster individual days, based on previous sales.”

Jason can then examine every store and keep track of his figures to the finest detail as the new sales data comes in. Once the week is over, Jason can save tedious data entry by exporting the information to MYOB.
